Building Apero Revenue

Each week we will build and release a useful part of the system.

8 Weeks from kickoff to handoff
Weekly A working product delivered every Friday

Selected teams we have helped

Get compounding value from every meeting & automate the revenue lifecycle

By aggregating, centralizing, and standardizing our CRM and sales data, we build a system that compound

01
≥95%

Keep applied account context accurate.

Target at least 95% field precision, with every applied fact linked to valid source evidence.

02
01

Create one reliable path from meeting to action.

Turn calls into reviewed CRM context, owned commitments, and safe delivery and billing drafts.

03
Next

Create a foundation that keeps compounding.

Leave Apero with portable connectors, rules, tests, prompts, and evidence that can support future channels and playbooks.

Step 1: Ingest all source data.

Meetings become durable, source-backed records instead of disappearing between Fireflies, notes, and Notion.

What we will do

  1. Archive each valid Fireflies event and capture human notes separately
  2. Extract structured account context with exact supporting evidence
  3. Match records by exact keys—or stop cleanly when identity is ambiguous
The outcome

One verified meeting record and a reviewable set of proposed updates.

Accurately & predictably act on context.

Reviewed facts improve Companies, Contacts, and Opportunities without allowing automation to overwrite human truth.

What we will do

  1. Approve or reject every proposed CRM field independently
  2. Turn explicit commitments into one deduplicated, owned task
  3. Surface qualification gaps, expected revenue, and expansion opportunities
The outcome

Cleaner CRM context, visible gaps, and one owner for every explicit commitment.

Keep humans in the loop at critical junctures.

Only a human-approved Verbal Yes can begin the path from commercial context to delivery and billing.

What we will do

  1. Create internal delivery and billing drafts after explicit human approval
  2. Verify customer, contract, amount, cadence, dates, and permissions
  3. Create an external draft exactly once and reconcile uncertain outcomes
The outcome

A verified billing draft—not a sent invoice—with complete evidence and no blind retries.

Eight weeks of delivery.

The first six weeks build the system in usable pieces. The final two weeks run it on real work, correct problems, and transfer ownership.

Phase 1 Week 1
01

Connect

Connect the core systems, set up Slack and Teams context access, confirm the data model, and prove one sample flow.

Milestone Foundation working
Phase 2 Weeks 2–6
02

Build

Add meeting capture, reviewed context, CRM updates, owned tasks, approval controls, and billing drafts one release at a time.

Milestone Full workflow working
Phase 3 Weeks 7–8
03

Prove + handoff

Run the system on real Apero work, correct failures, add operating controls, train the team, and transfer ownership.

Milestone Apero operating independently

Start moving as soon as the agreement is signed.

The opening week is practical setup and validation. It ends with a working sample flow, not a discovery report.

  1. 01
    On signing

    Confirm the order form

Complete the agreement, initial payment, kickoff date, and case-study terms.

  2. 02
    Days 1–2

    Name owners and open access

Confirm the Apero owners and provide access to each system plus representative meetings and billing records.

  3. 03
    Week 1

Connect Slack, Teams, and the core systems

Set up Slack and Microsoft Teams context access alongside Notion, Fireflies, Cloudflare, state.db, and Mercury.

  4. 04
    Friday, Week 1

    Review the first working release

Run one sample meeting through the agreed structure and confirm the next build week against live evidence.

A working product every Friday.

Each week adds one usable part of the system. Later releases build on working software rather than waiting for one large launch.

Week 1 01

Connect the systems

Set up Slack and Teams context access, connect the remaining systems, confirm the data model, and run one sample flow.

Week 2 02

Capture meetings

Send Fireflies calls into Notion once, keep transcripts and human notes separate, and make failures visible.

Week 3 03

Create useful context

Turn each meeting into a clear summary and source-backed CRM changes that a person can approve or reject.

Week 4 04

Match and update records

Match the right records, stop when identity is unclear, and apply only the changes a person approved.

Week 5 05

Create follow-up

Create one owned task per clear commitment, notify the owner, improve opportunity records, and surface expansion work.

Week 6 06

Create safe delivery and billing drafts

Use human approval to create delivery and billing drafts, then verify one draft through state.db and Mercury without sending an invoice.

Week 7 07

Run the pilot

Process real Apero work, test common and difficult cases, and correct anything that fails the agreed behavior.

Week 8 08

Handoff

Add monitoring and recovery controls, document the system, train the owners, and transfer everything to Apero.

One usable release each week. One complete owned system at handoff.

$2,500 per week for eight weeks.

The engagement is delivered and billed weekly across the eight-week implementation, pilot, and handoff described in this proposal.
